1. Booking Confirmation

A trek or experience is confirmed only after the required advance payment is received. All communication will be done through your registered email or WhatsApp number.

2. Participant Cancellation

If you need to cancel your booking, the following refund structure applies based on the total trek fee and time remaining before departure:

Cancellations must be submitted via email or WhatsApp. No refunds will be provided for unused services, late arrivals, or early departures.

3. Cancellation by Whitehill Trails

We may cancel or postpone a trek in rare circumstances such as bad weather, unsafe trail conditions, permit issues, or if the minimum group size isn’t met. In such cases, you may choose one of the following options:

• Receive a full refund of your trek fee
• Transfer your booking to another trek/date of equal value

4. Partial Payments & Adjustments

If you’ve paid a partial advance, you can shift your booking once, free of charge, up to 15 days before the trek. Date changes requested within 15 days of departure will be treated as a cancellation.

5. Refund Method

• Refunds will be processed to the original payment method within 7–10 business days after confirmation.
• Transaction or processing fees charged by payment gateways are non-refundable.

6. Force Majeure

In case of unforeseen events such as natural disasters, road closures, political unrest, or government restrictions, no refund will be issued. However, we will assist in rescheduling or providing a travel credit for future use.

7. Replacement Participant

If you cannot join the trek, you may nominate another person up to 7 days before departure. The replacement must meet the trek’s fitness and documentation requirements.
